Privacy Policy

1. Who this policy is for

The app is intended for licensed mental-health clinicians. You, the clinician, decide what patient information to enter. In data-protection terms you are the controller of that information; we do not receive, store or process it on your behalf, and we have no way to access it.

2. Information you enter

The app stores only what you type, dictate, capture or import. Depending on how you use it, that can include:

• Your profile — your name, and optionally your practice name and address. These appear in the greeting and on exported evaluations.
• Patient records — name, age or date of birth, gender, phone number, email address, blood group, an optional photo, and the clinic the patient attends.
• Appointments — date, time, duration, visit type, status and notes.
• Psychiatric evaluations and clinical notes — presenting concern, history, mental-state examination, safety and risk assessment, working and differential diagnoses, medication, treatment plan, follow-up, and free-text notes.
• Rating-scale results — answers and scores for PHQ-9, GAD-7, PC-PTSD-5 and PCL-5, including each individual response.
• Voice recordings and transcripts — audio recorded during a consultation, and the transcript produced from it.
• Photos and video — images or short video clips you attach to an evaluation from the camera or your photo library.

3. Information we do not collect

• We do not require an account, login, email address or phone number to use the app.
• The app has no analytics, crash-reporting, advertising or tracking software of any kind.
• The app does not collect your location, contacts, calendar, device identifiers or usage statistics.
• The app does not send notifications and has no server of its own.

4. Where your information is stored

On your device. All records are kept in an encrypted database inside the app's own storage area on your iOS or Android device, protected by the platform's built-in device security. Voice recordings are kept as audio files in the same area.

In Google Drive on Android (when enabled). The Android app can back up and restore your records through your Google Drive account. This backup is optional and is controlled from the app's backup settings. Google handles the storage and security of Drive data under its own privacy policy; we do not use your records for advertising or analytics.

In your private iCloud (on by default on Apple devices). The iOS app uses Apple's CloudKit to keep your records in the private database of your own iCloud account, so they are backed up and available on your other devices signed in to the same Apple ID. This includes patient records, appointments, evaluations, notes, scale results, transcripts and recording audio.

• On iOS, iCloud sync is turned on the first time the app runs. You can turn it off at any time under Profile › Storage › Sync with iCloud. When it is off, records exist only on the device.
• Your private iCloud database is readable only by you. Apple encrypts it in transit and at rest. We hold no keys, credentials or access to it.
• Apple's handling of iCloud data is governed by Apple's own privacy policy and, where you have enabled it, Advanced Data Protection for iCloud.

Your device's standard iCloud or computer backup may also include the app's data, according to your backup settings.

5. Speech recognition happens on your device

Consultation audio is transcribed by a speech-recognition model bundled inside the app. Recording and transcription run entirely on the device. No audio or transcript is ever sent to us, to Apple's speech services, or to any other server. The app can record and transcribe with no internet connection at all.

6. How the information is used

The information you enter is used only to provide the app's features: showing your schedule, keeping patient records, building and saving evaluations, scoring rating scales, playing back recordings, and producing exports. Nothing is used for analytics, profiling, model training, advertising or marketing.

7. Sharing and exports

We do not share, sell, rent or disclose your information to anyone. We cannot, because we never have it.

The only way information leaves the app is when you export it. When you export an evaluation, the app produces a PDF and hands it to your device's share sheet. The PDF is encrypted, opens without a password, allows printing and disallows copying. Once you send it by email, AirDrop, message or any other method, it is subject to that service's privacy practices and to your own obligations regarding patient confidentiality.

8. Permissions the app asks for

• Microphone — to record and transcribe consultations. Asked for the first time you start a recording.
• Camera — to attach photos or short videos to an evaluation.
• Photo library — to attach existing images or videos to an evaluation.

Each permission is optional. You can change them at any time in your device's Settings app. The app never accesses the microphone, camera or photo library except in response to an action you take.

9. Security

Records on the device are protected by the operating system's data protection and by your device passcode or biometric security. Records in iCloud are protected by Apple's iCloud security. You are responsible for securing your device and account credentials, for following your professional and legal obligations regarding patient records, and for deciding whether cloud sync is appropriate for your practice.

10. Your control over the information

• Edit or delete any patient, appointment, evaluation, note or recording inside the app at any time.
• With iCloud sync on, a deletion in the app is also applied to your private iCloud database.
• Deleting the app removes everything stored on that device. It does not remove data already in iCloud; on Apple devices you can delete that under Settings › [your name] › iCloud › Manage Account Storage, or by turning sync off before deleting.
• Export any evaluation as a PDF whenever you wish.

11. Children

The app is a professional tool for clinicians and is not directed at children. It has no features for children to use, and we knowingly collect no information from anyone.

12. Data-protection laws

Because we never receive patient data, we do not act as a data processor, service provider or HIPAA business associate for your practice. Compliance with the laws that apply to your records (for example HIPAA, GDPR, UK GDPR, or your national health-records regulations) remains your responsibility. Please review whether Apple iCloud is an acceptable storage location under those rules before enabling sync.

13. Changes to this policy

We may update this policy when the app changes. The date at the top shows the latest revision. Material changes will be noted in the app's release notes.
